Invoices are ready when your customers pick up their vehicles, so they can pay on the spot. Account customers with outstanding balances automatically receive a statement. `You can also send reminder letters to those customers who have overdue accounts. If your customers pay late, you lose interest on that money. It should be in your bank - not theirs. Remember you are in the automotive service industry, not the personal loans business.

Because you look professional, customers come back. Would you trust a workshop that looks like a backyard, fly-by-night business? Customers can be sent reminder letters when their vehicles are due for service. Many of your customers simply forget to get their vehicle serviced regularly. HOW DOES IT WORK?

Easy.

You switch the computer on in the morning. It gives you the choice of entering job cards, invoices or receipts or producing various reports. The invoice may be prepared automatically as you enter a jobcard, saving you work. A workshop report may be added at the completion of the job and the invoice printed, ready for your customer. When they pay, you enter the receipt in the computer. The computer knows your exact financial position.

At the end of the month, you print statements for your account customers. They send back their cheques and you enter them in the computer. A report shows your profit for the month or year. You can also get a report of all the people who owe you money along with their follow-up telephone numbers. If a customer’s vehicle is in the computer, you can send out service reminder letters. For larger workshops, you can get a report saying which mechanics are pulling their weight and which ones need a kick along.

You can go a step further at any stage and add suppliers of parts. You can then keep a track of all your expenses (parts and wages) and compare this to your income.

A stock/parts control system is also included. It offers kits for things like LPG conversions or other major service items. When you enter a job card/invoice, you enter the part number and the computer picks up the details and price and puts it into the invoice. By entering all the parts coming in and going out, you can tell if parts are being wasted or stolen. (a pack of spark plugs, points and air filter every week added up over a year is in excess of $ 600. It’s better in your pocket than someone else’s.)

If you want, you can also keep a ledger detailing all your other costs and get a profit and loss report when ever you wish.
